SchoolOS is a school management platform developed and operated by Globivance Systems ("we," "us," or "our"), a technology company based in Lagos, Nigeria. This Privacy Policy explains how we collect, use, store, and protect information when you use SchoolOS.

2. Information We Collect
We collect information in the following ways:
**Information you provide directly**
- School administrator details (name, email address, phone number, school name)
- Staff and teacher profiles created by school administrators
- Student records (names, class, date of birth, guardian contact details) entered by school staff
- Fee and payment records
- Demo request submissions and contact form messages
**Information collected automatically**
- Log data (IP address, browser type, pages visited, timestamps)
- Device information (operating system, screen resolution)
- Cookies and similar tracking technologies for session management and analytics
**Information from third parties**
- Payment processors may share transaction status with us to reconcile fee records
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve the SchoolOS platform
- Process demo requests and respond to enquiries
- Send service-related notifications (e.g., payment confirmations, system alerts)
- Generate reports and analytics for school administrators
- Detect, prevent, and address security incidents or abuse
- Comply with legal obligations applicable in Nigeria and other jurisdictions where we operate

- Payment processors: To facilitate fee collection and reconciliation

- Acquirers: In the event of a merger, acquisition, or sale of assets, your data may be transferred; we will notify affected users beforehand
We do not share student data with advertisers or unrelated third parties under any circumstances.
5. Data Storage and Security
All data is stored on secure cloud infrastructure protected by:

- TLS 1.3 encryption in transit
- Role-based access controls limiting staff access to data they need
- Regular automated backups with tested restore procedures
- Intrusion detection and 24/7 monitoring
While we implement industry-standard safeguards, no system is completely immune to breach. We will notify affected schools promptly in the event of a confirmed data incident.
6. Data Retention
We retain your data for as long as your school's subscription is active and for a reasonable period thereafter (typically 12 months) to allow for data export, dispute resolution, and legal compliance. You may request earlier deletion — see Section 8.
Anonymised or aggregated usage statistics may be retained indefinitely for product improvement.
7. Cookies
SchoolOS uses cookies and similar technologies for:
- Essential cookies: Session authentication and security tokens — required for the platform to function
- Analytics cookies: Understanding how the platform is used to improve features (e.g., page visit counts)
You can disable non-essential cookies in your browser settings, though this may affect some platform features.
8. Your Rights
Depending on your jurisdiction, you may have the right to:

SchoolOS processes student data including minors. This data is entered and controlled by school administrators, who act as data controllers for their institution. We process this data only on their behalf and in accordance with this policy. Parents or guardians wishing to access or remove their child's data should contact their school directly.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify school administrators by email and display a notice within the platform. The updated policy will take effect 14 days after notification unless you object before that date.
